Menno Place Privacy Policy
Menno Home, Menno Hospital, Menno Housing (collectively, “Menno Place”, “us” or “we”) recognizes the importance of your right to keep personally identifiable information about you private. Menno Place is committed to protecting such information by ensuring it is treated with care and, subject to this Privacy Policy (“Policy”), is not used or disclosed in ways that have not been consented to.
This Policy governs the collection, use and disclosure of your Personal Information in any communication or interaction you may have with us, whether it be in person, over the telephone, or electronically.
Menno Place complies with the federal Privacy Act and other applicable Canadian privacy legislation, including legislation regarding the collection, use and disclosure of personal health information. By submitting your Personal Information to us, or using Menno Place’s website (the “Site”), you accept this Policy and consent to its terms and any terms that are otherwise described to you at the time of collection of your Personal Information. If you do not agree with the terms of this Policy, please do not use the Site or otherwise provide your Personal Information to us.
This Policy may be amended at Menno Place’s discretion. Please check back from time to time for any amendments.
What is personal information?
“Personal Information” is personally identifiable information about you, including your name, age, residential address and e-mail address, credit card and billing information, health information, and other personally identifiable information provided by you (for example, comments provided by you and information about your preferences and interests). Publicly available information, such as business contact information or a public directory listing of your name, address, telephone number or information that is aggregated and not associated with you, including demographic information and statistics, is not considered Personal Information.
Collection, Use and Disclosure of Personal Information
We collect Personal Information by fair and lawful means. We will limit the collection of Personal Information to what is necessary for the purpose for which it was collected unless we are required or permitted by law to collect additional information.
Personal Information is collected by us when you provide it to us, either verbally or by written correspondence, including in person, and through faxes, emails and telephone inquiries. We may also collect your IP address when you use the Site and we keep track of your dealings with us, including details of your visits to the Site and the resources that you access, including, but not limited to, traffic data, location data, weblogs and other communication data.
We may also receive Personal Information from third parties, such as government agencies, hospitals, or our business partners, provided that such third parties confirm to us that they have obtained your consent, or we have obtained your consent in this regard.
We collect, use and disclose Personal Information primarily for the purposes of:
Providing individuals with health care and other related services;
- Quality management;
- Statistical analysis;
- Processing payments or accounts;
- Administering contests, if an individual enters a contest or promotion offered and/or administered by us; and
- Meeting relevant regulatory, legal, insurance, audit, and security requirements.
Also, you may indicate that you are interested in receiving offers or information from Menno Place and/or selected Menno Place sponsors or advertisers. If so, your Personal Information will also be used to contact you or to send you e-mail materials and other mailings about products and services that might be of interest to you. We or they may contact you about these products or services by any of the methods that you consented to at the time your information was collected, or we may use your IP address to display or allow our third-party advertising providers to display more targeted advertising and content.
We may also share your Personal Information with third parties who provide marketing services for us, who may use your Personal Information to create an anonymized profile of you to facilitate the delivery of online advertising to other individuals with a similar profile. These third parties are only allowed to access very limited information about you and are not permitted to share or use the information for any other purpose.
You always have the option to tell us not to share your Personal Information with third parties or to exclude you from offers for products or services and targeted advertising. Also, we will not refuse to provide a product or service to you if you choose not to provide us with your Personal Information, unless your failure to provide such information makes us unable to provide such product or service.
Other than as permitted or required by law (for example, in response to a court order or subpoena, or to comply with local or federal regulations), or where we sell any or all of our business and/or assets to a third party, or where medical reasons make it impossible or impracticable to seek consent (for example, if you are cognitively impaired, seriously ill or psychotic and your substitute decision maker is not available), your Personal Information will not be used for any other purpose without your (or your substitute decision maker’s) consent.
Processing of Personal Information
When we disclose Personal Information to third parties for processing, such as for contracted services such as computer backup services and/or archival storage services, or other third-party services related to services rendered by us, we will ensure that those third parties agree to only use your Personal Information for specified purposes and agree to provide a level of protection to the Personal Information comparable to that adopted by us.
In addition, Personal Information may be processed and stored outside of the province in which it was collected by us, an affiliate or a third-party service provider for the purposes set out in this Policy. For example, this may be the case for credit card processing.
We will ensure that any processing or storage of Personal Information outside of the province in which it was collected (including transfers within or outside of Canada) is permitted by applicable law prior to permitting same. However, under the laws of jurisdictions outside of Canada, in certain circumstances, foreign courts, law enforcement agencies or regulatory agencies of these foreign jurisdiction may be entitled to access your Personal Information without notice to you. By submitting your Personal Information, you agree to this transfer, storing or processing.
Disposal of Personal Information
We use secure means of disposing of Personal Information and ensure that your Personal Information is not retained for longer than is necessary for the purposes for which it was collected or as required under the law.
Use of Cookies and Other Technologies
Menno Place uses a browser feature called a “cookie” to collect information and track usage patterns on its site, which will enable us to improve our services. A “cookie” is a small text file that is placed on your hard disk by a website. “Cookies” contain a unique identification number that identifies your browser, but not you or any Personal Information, to our computers each time you visit the Site.

Menno Place does not monitor and has no responsibility or liability for or control over those other websites or Internet resources or their collection, use and disclosure of your personal information. This Policy does not apply to these third-party sites. You should review the privacy policies of those other websites and Internet resources to understand how they collect and use information.
How to Correct Your Personal Information
We want to ensure that information about you is accurate, complete and current. However, in many cases, we will rely on individuals to ensure that their Personal Information is accurate, complete and current. We will not routinely update Personal Information unless such a process is necessary to fulfill the purposes for which the information was collected.
Please inform Menno Place of any change of name, address, or other information. If you have questions about the accuracy of information that we have collected about you, you can have access to that information in order to verify and update it. If we have disclosed inaccurate information about you to a third party, we will be pleased to contact the third party in order to advise them of the error.
How to Access Your Personal Information
We are accountable for all personal information in our control. We have a designated Privacy Officer who is ultimately responsible for the handling of all personal information under our control, and for ensuring that the principles set out in this Policy are being complied with.
